- Click the Create Event link on the upper-left of Google Calendar.
- Enter the name of the event in the “What” text box.
- The “When” section has either two or four sections. If you only see two, then uncheck the All Day Event checkbox. (most events at Shepherd of the Hills are not all day events)
- Now you will be able to click in the start time and select the beginning time for the event. If it isn’t listed (like 10:45 for the second service), you can just type the start time in, rather than select one from the drop-down list.
- Next select an end time for the event. Note: If the event repeats (for example, TIW meets every Tuesday…), see instructions on page two below.
- For “Where”, include the address of Shepherd of the Hills (6914 Wurzbach Road San Antonio 78240) This “Where” is what gives Google the information to make a map for anyone who clicks on Directions while they are viewing the calendar online.
- Select the “Calendar” that you are working with. This will not be your calendar, but will be something like “Church Events” or “School Trips”.
- Enter a “Description” for the event. This might be a list of ushers, or a blurb about the seminar. This is where you can include the location on campus, for example, “in the Worship Center”.
- “Guests” will be used for some events. This section is where you can invite “guests”, in other words, list the e-mail addresses of the people affected. The guests will receive e-mail notification of the event, and the chance to add it to their calendars. This may work well for some things, like ushers scheduled or a rehearsal.
- Save the event. As soon as you save, it will be visible online. Check the calendar at www.shlutheran.org if you want to verify that the process worked.
- The Quick Add feature allows you to enter the most basic event details, and interprets how to display your event with minimal fuss on your part.
- You can also create an event by clicking the appropriate time slot in the calendar itself (drag your mouse to alter the length of the event). After entering the event title, you can click Create Event if you're all done, or edit event details if you want to add more info.
Invitations let you circulate information about a particular event (without requiring you to share your entire calendar with others). Here's how it works:
- Click on the event to which you'd like to invite guests (or, create a new event).
- Click the edit event details link.
- In the Guests box on the right, enter the email addresses of the people you're inviting (if you're a Gmail user, you can click the Choose from contacts link to see your contacts list).
- Select the level of control you'd like your guests to have (e.g. whether they can invite more people to your event, view who else has been invited).
- Click Save. (Your guests will be able to respond to the event and have the option to leave comments in the event details.)
To create a repeating event, just follow these steps:
1. Create an event and go to the event details page.
2. In the "When" section of the page, select the appropriate time interval from the drop-down menu entitled "Repeats."
3. Fill in the event's other details.
4. Click "Save."
To make an existing event repeat, follow these steps:
1. Click on the event.
2. Select "edit event details."
3. In the "When" section of the page, select the appropriate time interval from the drop-down menu entitled "Repeats."
4. Click "Save."
You can navigate Google Calendar in a few ways:
- Choose a view by selecting one of these tabs in the upper-right corner of the Calendar page: Day, Next 4 Days (Customizable), Week, Month, and Agenda.
- Select the dates you want to view by navigating forward and backward from your current position with the arrow buttons in the upper-left corner of the page.
- Pick any date or date range in the mini-calendar on the left side of the page.
Initially, you'll have just one calendar (this is your primary calendar). As you create new calendars or add shared calendars, additional calendars will show up in the calendar list on the left side of the page. To view a particular calendar, just click the calendar name. If the calendar name is highlighted by a colored bar, it's selected for viewing. Use this option to toggle your calendars on and off.
Using the search function in Google Calendar is similar to searching on Google.com. To search for events on your calendars, use the search box at the top of the page. If you're looking for an event that contains the word 'swimming,' type [ swimming ] in the search field and click Search My Calendars. The search results will contain only events from calendars that are selected to display in your calendar list. (If the calendar name is highlighted by a colored bar, it's selected)
You can expand or refine your searches using Google Calendar search options. Just click Show Search Options at the top of the page, to the right of the 'Search My Calendars' box, complete the appropriate fields, and press Enter.
To search for public calendars in the Google Calendar gallery, simply enter your search term in the search box at the top of the page and click the Search Public Calendars button. Alternatively, you can click the Add down-arrow button at the bottom of the calendar list on the left of the page and select Search Public Calendars. Then, enter your search term in the search box at the top of the gallery and click Search.
